Shipping & Delivery Policy

Order Cancellation Policy Flooring USA and More, LLC 1. Purpose The purpose of this Order Cancellation Policy is to establish clear, fair, and consistent guidelines for customers and staff regarding the cancellation of orders. This policy ensures that all cancellations are handled efficiently, protecting customer rights while safeguarding the company’s operational integrity and costs. 2. Scope This policy applies to: • All retail and wholesale customers of Flooring USA and More, LLC (“the Company”) • All product categories sold via the Company’s online store, showrooms, phone and email orders • All Company employees involved in order processing, customer service, shipping, billing, and finance 3. Policy Guidelines and Requirements 3.1 Cancellation Before Shipment • Customers may cancel an order at any time prior to the manufacturer’s shipment date at no cost. • Once a cancellation request is received, the Company will confirm receipt within one business day and process the cancellation. • Any payment authorizations or holds will be released or voided in accordance with the customer’s payment method and financial institution policies. 3.2 Cancellation After Shipment • If an order has already shipped from the manufacturer’s facility, a cancellation is still permitted but subject to a 25% restocking fee based on the net order value (before tax and shipping). • Customers must return the product in its original, unopened packaging (unless damaged in transit) and follow the Returns Merchandise Authorization (RMA) process outlined in Section 5. • Shipping costs to return the product remain the customer’s responsibility, unless the return results from Company error or product defect. 4. Customer packages the product securely with the RMA number clearly marked on the outside. 2. Customer ships the product back via a traceable carrier; proof of shipment must be provided. 3. Upon receipt and inspection, the Company deducts the restocking fee (if applicable) and processes the refund within ten business days. 4. Refunds are issued via the original payment method, subject to financial institution timelines. 6. Compliance and Consequences • Employees must follow this policy when handling cancellations. Policy Title and Purpose

1.1 Title

Returns Policy

1.2 Purpose

This Returns Policy establishes uniform guidelines for the evaluation, approval, and processing of returned goods by Flooring USA and More, LLC. Its purpose is to ensure customer satisfaction, protect company resources, and maintain consistency across all transactions.

Scope

This policy applies to:

All domestic retail and commercial customers of Flooring USA and More, LLC
All sales and customer‐service personnel responsible for order entry, order fulfillment, and returns processing
All products sold through our showrooms, website, or direct sales channels, excluding special orders (see Section 4.1)

Definitions

3.1 “Approved Return”

A returned item that has met all criteria set forth in this policy and for which Flooring USA and More, LLC has issued formal Return Authorization (RA).

3.2 “Case‐by‐Case Basis”

An individualized evaluation of a return request, taking into account product condition, reason for return, date of purchase, and inventory disposition.

3.3 “Restocking Fee”

A fee equal to 25% of the original invoiced value of the returned item, deducted from the refund amount to cover handling, inspection, and warehousing costs.

3.4 “Special Order”

A product that is manufactured, cut, or otherwise customized specifically for a customer’s individual requirements. Special orders are non‐returnable.

Policy Guidelines and Requirements

4.1 Return Eligibility

Stocked items in resalable condition may be considered for return on a case‐by‐case basis.
Special orders and custom‐cut materials are not eligible for return.
All return requests must be submitted within 30 calendar days of the original delivery date.

4.2 Condition of Returned Goods

To qualify for an Approved Return, items must:

Be in original, unopened packaging
Remain free of wear, damage, or installation attempts
Include all accessories, labels, and documentation

4.3 Restocking Fee

A 25% restocking fee will be applied to the invoiced value of every Approved Return.
The restocking fee covers inspection, repackaging, and re‐inventory costs.

4.4 Shipping and Inspection Costs

Customers are responsible for shipping returned items back to Flooring USA and More, LLC unless otherwise specified in writing.
Flooring USA and More, LLC reserves the right to inspect returned goods upon arrival. Items failing inspection may be returned to the customer at their expense.

Procedures and Processes

5.1 Return Authorization (RA) Request

Customer contacts Customer Service or their Sales Representative within 30 days of delivery.
Customer provides invoice number, item description, quantity, reason for return, and photographs (if applicable).
Flooring USA and More, LLC issues an RA number or provides written denial within five business days.

5.2 Shipping and Receipt

Customer labels all packages with the assigned RA number.
Customer ships goods to the designated returns facility at their cost.
Flooring USA and More, LLC acknowledges receipt and initiates inspection within three business days.

5.3 Inspection and Approval

Quality Control reviews returned goods against the criteria in Section 4.2.
Decision is communicated in writing within five business days of receipt.

5.4 Refund or Credit Issuance

Upon approval:

A credit memo or refund (less 25% restocking fee and any unapproved damages) is issued within ten business days.
Refunds are applied to the original payment method unless the customer requests store credit.

Compliance Requirements and Consequences

6.1 Adherence

All employees must follow this policy when processing returns. Sales personnel must inform customers of return terms at point of sale.

6.2 Non‐Compliance

Unauthorized return approvals may result in disciplinary action, up to and including termination.
Customers returning non‐compliant items may be refused credit and charged for return shipping and disposal.
